Initial Engagement & Collaborative Discovery

Your journey begins with a focused intake process designed to establish a deep understanding of your operational ecosystem.

  • Personalized Welcome: You will receive a direct, personalized introduction from your dedicated VR Training Team lead, who will serve as your primary point of contact throughout the entire process.
  • In-Depth Intake & Assessment: We will start with a brief but comprehensive intake form. This essential document is meticulously crafted to gather all necessary data points regarding your clinic’s:
    • Physical Layout: To optimize hardware placement and patient flow.
    • Team Structure: To tailor training content to specific roles (e.g., technicians, surgical coordinators, and doctors).
    • Current Workflow Needs: To identify where InSightVR can create the most significant impact and efficiency gains.
  • Strategic Discovery Call: The information gathered will guide a dedicated Discovery Call. During this 30 minute call, we’ll discuss your practice’s goals, training agenda, and workflow options to build a plan that integrates InSightVR into your clinical operations.

Tailored Integration Planning & Blueprint Creation

This phase transforms insights into action. Your VR Training Manager moves from understanding your needs to building a customized implementation roadmap.

  • Goal Alignment & Success Metrics: The Training Manager will collaborate closely with your leadership team to establish clear, measurable training goals and integration success metrics. This ensures everyone is aligned on the definition of a successful launch.
  • Practice-Specific Configuration: We will adjust the hardware setup and patient-facing training flow based on your practice’s unique preferences and physical space requirements, aiming for minimal disruption and maximum adoption.
  • Pre-Implementation Readiness Review: A detailed document—your “Go-Live” Blueprint—will be created and provided prior to the onsite visit. This blueprint includes:
    • Customized Training Agenda: Specific training tailored for your staff roles.
    • Hardware Setup Timeline: A clear schedule for installation and testing.
    • Patient Introduction Scripts: Recommended verbiage for staff to introduce the InSightVR experience to patients.

On-Site Immersion & Activation (“Go-Live”)

This is the onsite implementation and training of the InSightVR experience. Typically a two-day, in-person session by your VR Training Team.

  • Full Hardware Deployment & QA: We will arrive on-site to complete the professional setup of all InSightVR hardware. This includes final placement, system configuration, and quality assurance testing to confirm peak operational readiness.
  • Role-Specific Staff Training: We conduct immersive training sessions for your staff, focusing on quality education and building confidence in your staff as users to promote a streamlined experience for your patients. 
  • Guided Patient Walk-Throughs: Staff will lead patients through the InSightVR experience under our direct supervision. This hands-on, live experience is key for building staff confidence and reinforcing training.

Post-Launch Partnership & Ongoing Optimization

Implementation is not a single event; it is the start of a partnership. Our support structure is designed to promote sustained success and continuous optimization.

  • Launch Celebration & Initial Check-In: One week after “go-live,” we will conduct a focused check-in to celebrate your successful launch, review initial performance, and address any immediate questions that have arisen during the first week of operation.
  • Structured Follow-Up Cadence: We maintain a structured communication schedule to ensure long-term value. Your VR Training manager will remain in contact to ensure the team feels supported and comfortable with every aspect of the InSightVR program.

Dedicated & Direct Access: For any need or question that arises, you will have direct access to your VR Training Manager via phone, email, and text—a true extension of your clinical team.
